This Refund & Cancellation Policy explains the rules that apply when a customer cancels a booking, requests a refund, or when a travel supplier cancels or changes a travel service booked through Travel Fixer.
Travel Fixer is a travel booking service and reseller. We arrange and resell flights, holidays, hotels and other travel products provided by registered suppliers, airlines, wholesalers, tour operators, booking systems and other third-party travel providers.
Because Travel Fixer does not own or operate the underlying travel products, refunds and cancellations are generally subject to the applicable terms and conditions of the relevant supplier.
1. OUR ROLE
Travel Fixer acts as a travel booking service and reseller of travel products supplied by third parties.
Depending on the booking, the relevant supplier may be an:
Airline
Hotel
Tour operator
Holiday provider
Wholesaler
Consolidator
Global Distribution System (GDS)
Other registered travel supplier or partner
The refund, cancellation, amendment and change conditions applicable to a booking may therefore be determined by the relevant supplier's rules.
Travel Fixer will communicate the applicable conditions to the customer where reasonably possible.
2. CANCELLATION BY THE CUSTOMER
If you wish to cancel a booking, you should contact Travel Fixer as soon as possible.
Cancellation requests should be made using our official contact details:
A cancellation request does not automatically guarantee a refund.
Whether a refund is available depends on the fare, product and supplier conditions applicable to the booking.
Some travel products may be:
Fully refundable
Partially refundable
Refundable subject to a cancellation fee
Non-refundable
Refundable only before a specified deadline
Subject to supplier-specific cancellation conditions
Customers should review the cancellation conditions provided at the time of booking.
3. FLIGHT CANCELLATIONS
Airline tickets are subject to the fare rules and conditions of the relevant airline and fare type.
Depending on the ticket purchased, cancellation may result in:
A full refund
A partial refund
A refund after deduction of applicable charges
A travel credit or voucher where offered by the airline
No refund
Where the airline permits a refund, Travel Fixer may submit or process the refund request in accordance with the applicable supplier procedures.
4. HOTEL AND HOLIDAY CANCELLATIONS
Hotel bookings, holiday packages and accommodation arrangements may have separate cancellation conditions.
Depending on the product, cancellation may be:
Free before a specified date
Subject to a cancellation charge
Partially refundable
Non-refundable
Subject to the supplier's individual cancellation policy
The cancellation conditions applicable to the specific booking will take priority over general information displayed on the website.
5. DEPOSITS AND PART-PAYMENTS
Where a booking has been made using a deposit or partial payment, the refundability of that payment depends on the conditions communicated at the time of booking and the applicable supplier rules.
A deposit described as non-refundable will generally not be returned unless the relevant supplier or applicable law provides otherwise.
Where a deposit is expressly stated to be refundable, the applicable refund conditions will be communicated to the customer.
Customers should not assume that a deposit is refundable unless this has been specifically confirmed in writing.
6. TRAVEL FIXER SERVICE OR ADMINISTRATION FEES
Where permitted by the applicable booking terms, Travel Fixer may charge a reasonable service, administration or cancellation fee for work already performed in connection with a booking.
Any applicable Travel Fixer fee should be communicated to the customer before the booking is confirmed or before processing a cancellation request, where reasonably possible.
Supplier cancellation charges, airline penalties, hotel cancellation charges, payment-provider charges and Travel Fixer service fees may be separate charges.
7. REFUNDS FROM SUPPLIERS
Where a refund depends on a third-party supplier, Travel Fixer may need to wait for the supplier to authorise and release the refund.
Once a supplier authorises a refund, Travel Fixer will process or pass the refund to the customer using the applicable payment method, subject to any permitted deductions.
The timing of a refund may therefore depend on:
The supplier
The airline or hotel
The payment provider
The booking system
Banking processing times
The nature of the refund
Travel Fixer does not guarantee a specific refund processing time where the refund is controlled by a third-party supplier.
8. AIRLINE-INITIATED CANCELLATIONS OR CHANGES
If an airline or other travel supplier cancels or materially changes a confirmed booking, Travel Fixer will, where reasonably possible, communicate the available options to the customer.
Depending on the supplier's rules, available options may include:
Rebooking
Changing the travel date
Alternative routing
Travel credit
Refund
The available options will depend on the specific supplier's rules and the circumstances of the disruption.
Travel Fixer cannot guarantee a particular remedy where the decision is controlled by the airline or other supplier.
9. NO-SHOWS
If a customer does not travel or fails to use a booking without cancelling it in accordance with the applicable conditions, the booking may be treated as a no-show.
No-show rules vary by airline, hotel and travel supplier.
A no-show may result in:
Loss of the fare
Cancellation of remaining flights
Additional charges
Loss of refund entitlement
Customers should contact Travel Fixer before the scheduled departure if they are unable to travel.
10. MISSED FLIGHTS AND LATE ARRIVAL
Customers are responsible for arriving at the airport or other departure point in sufficient time to complete check-in, security and boarding procedures.
If a customer misses a flight due to arriving late, the refund or rebooking options will depend on the airline's fare rules.
Travel Fixer cannot guarantee a refund or free rebooking for a missed flight.
11. REFUNDS FOR UNUSED SERVICES
Where a customer chooses not to use part of a travel itinerary, the unused portion may not automatically be refundable.
For example, failing to use an outbound flight may affect the validity of a return flight depending on the airline's rules.
Customers should contact Travel Fixer before deciding not to use any part of a booking.
12. SPECIAL SERVICES AND ADD-ONS
Additional services such as:
Extra baggage
Seat selection
Special meals
Airport transfers
Wheelchair assistance
Hotel upgrades
Excursions
Other optional services
may have separate refund and cancellation conditions.
Refund eligibility will depend on the terms of the relevant supplier.
13. PAYMENT REFUNDS
Where a refund is approved, it will normally be returned using the original payment method where reasonably possible.
For security and fraud-prevention purposes, refunds may not necessarily be paid to a different person or payment method.
Additional verification may be required before processing a refund.
We may request additional information where necessary to process the request.
15. REFUND ASSESSMENT
After receiving a cancellation or refund request, Travel Fixer may need to check the applicable supplier rules before confirming whether a refund is available.
The assessment may include:
Checking the fare or product conditions.
Checking whether the booking has been used.
Checking the cancellation deadline.
Checking applicable supplier penalties.
Checking whether the supplier permits a refund.
Calculating any applicable charges.
Confirming the amount available for refund to the customer.
The final refundable amount will be communicated to the customer before the refund is processed where reasonably possible.
16. PROMOTIONAL AND NON-REFUNDABLE PRODUCTS
Promotional fares, discounted fares and special offers may have additional restrictions.
Some promotional products may be non-refundable or may have limited cancellation rights.
Customers should review the specific terms of the offer before making payment.
A discounted price does not automatically mean that the booking is refundable.
17. FORCE MAJEURE AND UNCONTROLLABLE EVENTS
Travel arrangements may be affected by circumstances outside Travel Fixer's reasonable control, including:
Severe weather
Natural disasters
War
Civil unrest
Government restrictions
Airport closures
Airspace restrictions
Strikes
Public-health emergencies
Airline operational disruption
Other events outside our reasonable control
Where such an event affects a booking, Travel Fixer will provide reasonable assistance and communicate available options where possible.
Any refund, credit or rebooking will depend on the applicable supplier rules and applicable law.
18. LEGAL AND CONSUMER RIGHTS
Nothing in this Refund & Cancellation Policy is intended to remove or restrict any mandatory consumer rights or legal protections that apply to a customer.
Where applicable law provides a customer with rights that cannot legally be excluded, those rights will continue to apply.
19. POLICY FOR THIRD-PARTY SUPPLIER REFUNDS
Because Travel Fixer resells travel products supplied by third parties, we cannot guarantee a refund where the underlying supplier does not permit one.
Where the supplier authorises a refund, Travel Fixer will take reasonable steps to process the refund in accordance with the supplier's instructions and the applicable booking terms.
Where the supplier rejects a refund request, we will communicate the outcome to the customer and, where appropriate, explain any alternative options available.
